Other assets Custom software Staff management This holds all staff records, and automatically offers up information such as when someone is due to be offered permanent part time work. It hold complex information such as multiple wage rates. It also contains processes to import information from the calendar in a digital form. This is then sent out through a mail program which converts the information to SMS. So all staff are notified of upcoming shifts, and can respond via SMS. This allows for a straightforward management of a fairly complex process. Stock management This contains detailed information about all suppliers, all stock used, and has a tailored system of ordering new stock in a two phase process – placing requests for stock, and then placing the orders. A number of mechanisms are designed in to make this process efficient – for instance displaying a number of sellers of a specific product ordered, so the person ordering can make the best choice. This is integrated with a recipe function, so all dishes produce can be easily costed out. Gelati production This contains production information for the gelato, allowing quantities and flavours to be kept track of. It also has a facility to print off labels for the gelato flavours. It provides reports on which are the most popular flavours. Another section tracks wholesale orders, and allows labels to be printed. Table booking There is a program designed for people phoning ahead and booking tables. General software Ical This is a standard calendar program, but has been adapted for the complex purpose of shift allocation. Being in a visual format, and easily manipulated, it lends itself to flexible management of shifts. Both Ical and the Address Book are linked through Mobile Me, allowing automatic updating of changes on any computer which is logged in, either locally or remotely this. This system works seamlessly, and allows for the information to be carried on a laptop, and checked or updated remotely. This facility is also available with the email program used – Mail. All these facilities are also available using vehicles such as an iphone. POS The point of sale system uses a software which allows easy additions and changes of products and prices. It can produce a variety of sales reports which can be viewed directly, or through programs such as excel or imported into filemaker. It is fully integrated into an Imac touchscreen. Security A security camera is connected into the main computer, and the information captured and stored. This can be accessed remotely if necessary. Music 20,000 songs are stored on the main computer, containing a range of music including blues, jazz, classical, folk, and contemporary. Itunes allows easy control of the music, and it is played through the amp and speaker system installed in the café.
